AccessIT Group and its subsidiaries and affiliates (collectively, “we,” “us,” or “our”) are committed to protecting the privacy and security of the information we collect. This Privacy Policy explains how we collect, use, disclose, and safeguard Personal Information when you visit our website, engage with our services, or interact with us in a business context.

This policy applies primarily to business contacts, including prospective customers, clients, partners, and website visitors. It covers Personal Information collected through our websites and electronic systems (the “Site”).

1. What Is Personal Information?

“Personal Information” means information that, alone or in combination with other information, identifies you. Examples include your name, email address, phone number, and mailing address. When we combine Personal Information with other information, we treat the combined information as Personal Information.
 
This Privacy Policy does not apply where we process Personal Information as a processor (or “service provider”) on behalf of our customers. In those cases, the customer controls what information is collected and provided to us. For questions about how a customer uses your information, please contact that customer directly.

2. Personal Information We Collect

a. Information You Provide

Contact Information: When you submit a form on the Site, we collect information such as your full name, company email address, work phone number, job title, industry, and country. Required fields are indicated at the time of submission. If you choose not to provide certain information, we may not be able to fulfill your request.
 
Virtual Events and Meetings: If you attend an AccessIT Group in-person or virtual event, we may record the event for business and marketing purposes. You will be notified of any recording. Recordings are retained only as long as necessary for business, training, or marketing purposes.
 
Social Media: Our Site links to our social media pages. If you interact with us on social media, we may collect information you submit or publish. Social media interactions are also governed by the privacy policies of those platforms.
 
Job Applicants: Personal Information related to prospective job applicants is collected and processed in accordance with our separate Job Applicant Privacy Policy, available at AccessIT Group Jobs.
 

b. Information Collected Automatically

Cookies and Tracking Technologies: We and our service providers use cookies, device identifiers, pixels, web beacons, and similar technologies to collect information about how you use the Site. This information helps us operate Site features, personalize your experience, and analyze usage.
 
Log File Information: Our servers automatically record information when you use the Site, including your IP address, browser type, referring URLs, pages viewed, and interaction data. We use this information to secure the Site and improve its performance.
 
Location Data: Your browser or mobile device may share location data based on your device settings or when you use location-based features on the Site.
 
Advertising and Remarketing: We use third-party advertising partners (including Google, Microsoft, Facebook/Meta, LinkedIn, and X/Twitter) to serve relevant ads and measure their effectiveness. Information from Others: We may receive your contact information if a colleague refers you to our Site through a referral feature. We use this information solely to send you a single invitation message.

4. How We Share Personal Information

We do not disclose Personal Information except as described in this Privacy Policy or with your consent.
 
Service Providers: We share Personal Information with third-party service providers who assist us with hosting, analytics, marketing, and other operational functions. These providers are contractually required to protect Personal Information and use it only as directed by us.

Business Partners: With your consent, we share your contact information with business partners to send you relevant communications. You may opt out at any time as described in Section 8. We also share information with partners for joint marketing purposes when you have provided your details through a registration or consent process.

Events: If you participate in an AccessIT Group event, we may share your contact information with sponsors and vendors associated with that event. Please see Section 8 for opt-out options.

Affiliates: We may share Personal Information with our affiliates in Canada and India, who are required to handle it in accordance with this Privacy Policy.

Business Transfers: In connection with a merger, acquisition, sale of assets, or similar transaction, Personal Information may be transferred as part of the transaction. We will notify you of any such change as required by law.

Legal Requirements: We may disclose Personal Information to law enforcement, regulators, or courts as required or permitted by law, or to protect our rights, property, or the safety of others.

5. Cookies and Advertising Opt-Out

Please note that we currently do not respond to browser Do Not Track (DNT) signals. However, we will honor Global Privacy Control (GPC) opt-out signals where required by applicable law.

6. Data Security

We use commercially reasonable technical and organizational safeguards – including industry-standard encryption (SSL/TLS) – to protect Personal Information. However, no method of transmission or storage is completely secure. We cannot guarantee the absolute security of your information and do not warrant protection against unauthorized access by third parties.

7. Data Retention

We retain Personal Information for as long as necessary to fulfill the purposes described in this Privacy Policy, or as required by applicable law. When Personal Information is no longer needed, we will delete or anonymize it in accordance with our data retention policies.

a. General Rights

• Opt out of the sale or sharing of your Personal Information by emailing info@accessitgroup.com. We will respond to requests in accordance with applicable law. We may need to verify your identity before processing certain requests.
 

b. California Residents (CCPA/CPRA)

This section applies to California residents and describes rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, “CCPA”).

We do not sell Personal Information. We do not use or disclose Sensitive Personal Information beyond what is permitted under the CCPA without additional notice.

To exercise your rights, contact us as described in Section 12. We may need to verify your identity before responding. You may designate an authorized agent to make a request on your behalf. We do not charge a fee for requests unless they are excessive or repetitive.

c.  Other U.S. State Residents

Residents of Virginia, Colorado, Connecticut, Texas, and other states with comprehensive privacy laws may have similar rights, including rights to access, correct, delete, and opt out of the processing of their Personal Information for targeted advertising or profiling. To exercise any such rights, please contact us as described in Section 12. We will respond in accordance with the law applicable in your state.

 

d.  International Users (GDPR / UK GDPR)

If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, this section applies to you.

Lawful Bases for Processing: We process your Personal Information on the following lawful bases: (1) Performance of a contract — to fulfill requests or services you have initiated; (2) Legitimate interests — for security, fraud prevention, marketing to business contacts, and improving our services; (3) Legal obligation — to comply with applicable laws; and (4) Consent — where required, such as for certain marketing communications or cookies.

Your Rights Under GDPR: You have the right to access, rectify, erase, restrict, or object to the processing of your Personal Information, as well as the right to data portability and the right to withdraw consent where processing is based on consent. You also have the right to lodge a complaint with your local supervisory authority.

International Data Transfers: Your Personal Information may be transferred to, and processed in, the United States or other countries outside the EEA/UK. Where required, we rely on appropriate safeguards such as the EU-U.S. Data Privacy Framework, Standard Contractual Clauses, or the UK International Data Transfer Agreement to protect such transfers. Retention: We retain Personal Information only for as long as necessary for the purposes stated in this policy, or as required by law. Typically, business contact data is retained for the duration of the business relationship plus a reasonable period afterward. 

9. Children’s Privacy

Our Site is not directed to individuals under the age of 18, and we do not knowingly collect Personal Information from minors. Our Site may contain links to third-party websites and social media platforms. We are not responsible for the privacy practices of those sites. A link to a third-party site does not constitute an endorsement. We encourage you to review the privacy policies of any third-party sites you visit.

We will occasionally update this Privacy Statement. If we make changes to this Privacy Statement or make any material changes to how we use your personal information, we will revise this Privacy Statement to reflect such changes and revise this Privacy Statement’s effective date, included at the beginning of this document.
